2. What FormationData does
FormationData provides company-led public data mining, business intelligence, commercial opportunity discovery, market research, compliance research, API data access and B2B data tools.
Our platform helps users search, compare, filter and understand public and business information about companies.
This can include company records, filings, accounts, financial indicators, directors, PSCs, ownership links, company property indicators, charges, public contracts, planning records, compliance indicators, business listings and other business-related data.
Some customers use FormationData to identify companies that may be relevant for lawful B2B marketing or professional services.
Other customers use FormationData for company research, due diligence, lender checks, borrower review, compliance checks, API screening, market research, statistical analysis or business intelligence.
FormationData is company-led. This means our tools are mainly designed around companies, company records, company indicators and business information.
However, some company records include personal data about people acting in a business capacity, such as directors, persons with significant control, officers, shareholders, business owners, applicants, agents or company representatives.
3. Why public register data matters
UK companies are required to file certain information with public bodies and official registers.
This can include company details, registered office address, accounts, filings, officers, PSCs, charges, insolvency information and other company records.
Public register data exists to support transparency, accountability, due diligence, public confidence, business research and commercial trust.
FormationData helps users search and understand public company information more quickly by collecting, matching, organising and presenting data from public and business sources.
We do not own the original public register records.
Where information comes from a public source, the original source remains responsible for the original public record.
FormationData may display, summarise, match, score, filter, export or make available information from public and business sources where we have a lawful basis to do so.
4. Where we get data from
FormationData collects data from official public registers, public authorities, public datasets, business directories, public websites, mapping and business listing services, search results, third-party data providers and customer-supplied information.
Examples of sources may include:
- Companies House;
- HM Land Registry;
- the ICO register;
- public procurement and contract datasets;
- public planning records;
- Gazette-style public notices;
- insolvency and liquidation records;
- public business directories;
- public business websites;
- public court or tribunal listings involving companies;
- regulatory, licensing and supervision registers;
- other official, public or commercially available business datasets.
We may add new source categories in future where they are relevant to company research, public-register transparency, compliance indicators, market research, commercial opportunity discovery, lender checks, due diligence or business intelligence.
We do not list every supplier or technical provider publicly because some of that information is commercially sensitive. Apparently telling competitors exactly how the plumbing works is not the cleverest survival strategy.
5. What data we may collect and combine
FormationData may collect, match, analyse or display data including:
- company name;
- company number;
- company status;
- registered office address;
- incorporation date;
- SIC codes;
- business descriptions;
- accounts and filing information;
- financial figures from accounts;
- overdue accounts indicators;
- overdue confirmation statement indicators;
- filing deadlines;
- public filing history;
- director names;
- PSC names;
- officer appointments;
- PSC links;
- ownership and control information;
- whether a company appears to be owned by an individual or a corporate body;
- linked companies;
- shareholder or ownership indicators where available;
- charges and mortgage indicators;
- insolvency or liquidation indicators;
- Gazette indicators;
- compliance indicators;
- ICO registration indicators;
- AML or supervision indicators where relevant;
- sponsor licence indicators;
- property ownership indicators;
- some properties owned by companies;
- public contracts won;
- planning data;
- probate data;
- limited-company court case data;
- employee number indicators;
- public penalties, enforcement, breach or compliance records where added in future;
- business websites;
- public business telephone numbers;
- public business email addresses;
- social media links;
- opening times;
- review ratings;
- other public company-level or business-level information.
Some datasets are partial. FormationData may not show every property, contract, court case, planning record, public notice, filing, financial figure or business listing connected to a company.
A missing item does not mean the item does not exist. It may mean we have not collected it, matched it, licensed it, refreshed it, processed it or added it to the platform.
6. Public company pages
Public company pages are company-led pages that may be indexed by public search engines.
Publicly indexed company pages may display company-level information such as:
- company name;
- company number;
- company status;
- registered office address;
- accounts and filing summaries;
- some financial information;
- director and PSC names/links;
- linked companies;
- charges;
- Gazette and compliance indicators;
- some properties owned by the company;
- some public contracts won;
- some court cases involving limited companies;
- other public company-level information.
Public company pages are intended to help users quickly understand a company’s public record, filing position, business activity, ownership links and possible compliance indicators.
Public company pages do not display director or PSC service addresses.
Public company pages do not display personal email addresses or personal telephone numbers.
On publicly indexed company pages, we only display the company’s official registered office address where that address appears in official public sources.
7. Public director and PSC pages
FormationData may create public director or PSC profile pages by aggregating public business-role information connected to company appointments, ownership and control relationships.
These pages may help users understand:
- which companies a director or PSC is linked to;
- what industries those companies operate in;
- whether the person appears across multiple companies;
- linked company structures;
- public business indicators connected to the companies;
- broad financial or compliance indicators across linked companies.
Public director/PSC pages do not display any address.
This means public director/PSC pages do not display:
- director service addresses;
- PSC service addresses;
- registered office addresses as the person’s address;
- private residential addresses;
- personal telephone numbers;
- personal email addresses.
A public director/PSC page may link to company pages connected to that director or PSC.
Those company pages may show the company’s official registered office address. That is company-level information, not an address we publish as the person’s home address.
FormationData does not always know whether a company registered office address is also someone’s home address.
8. Registered office addresses, service addresses and home addresses
A company registered office address is official company information.
A director or PSC service address is personal data connected to a person acting in a business capacity.
A private residential address is different from both of those, although in some cases a person may choose to use their home address as a company registered office or service address.
FormationData does not display director or PSC service addresses on public director/PSC pages.
FormationData does not display director or PSC service addresses on publicly indexed company pages.
Public company pages may display the company’s official registered office address.
If a company registered office address is also someone’s home address, FormationData may not know that unless the person tells us or the issue is otherwise clear.
If your home address appears on an official public register, you may need to update or apply to suppress the address at the original public source first.
Once the public source updates or suppresses the address, FormationData will update when we next refresh the relevant data.
You can also use our Privacy Restriction Request page to ask us to review search engine visibility, person-level export suppression, direct marketing suppression or other restrictions.
9. Paid platform data and exports
Paid users may be able to access and export company-led data depending on their subscription, permissions, selected modules, account settings and product features.
Exports may include:
- company registered office address;
- directors and PSCs;
- director or PSC service addresses where available from official or public sources;
- accounts figures;
- filing information;
- charges;
- property indicators;
- compliance indicators;
- planning data;
- probate data;
- court case data involving limited companies;
- contracts won;
- employee number indicators;
- ownership structure indicators;
- sponsor licence indicators;
- FormationData Score;
- business contact data from Formation Businesses.
Export availability may vary by module, subscription, account settings, suppression rules and product changes.
Paid exports are not the same as public indexed pages.
For example:
- public director/PSC pages do not show addresses;
- public company pages do not show director/PSC service addresses;
- paid exports may include certain public director/PSC service address information where available from official or public sources, unless a restriction applies.
Where a person has submitted a valid privacy restriction request, FormationData may suppress their director/PSC service address or person-level data from marketing-focused exports, enrichment exports, partner disclosures and API outputs where this is within our control.
10. API access
Some customers access FormationData through an API rather than through the website.
API customers may access similar categories of data available to paid platform users, subject to contractual controls, account permissions, suppression rules and technical restrictions.
API customers may use FormationData data for:
- company checks;
- onboarding;
- compliance review;
- lender review;
- borrower review;
- business intelligence;
- market research;
- commercial opportunity discovery;
- statistical analysis;
- internal business processes;
- other lawful business purposes.
FormationData provides raw data, aggregated indicators and company-level scores.
FormationData does not approve, decline, underwrite or make lending, credit, banking, insurance, employment or regulated decisions.
Customers must make their own decisions using their own processes and human review where required.
Where FormationData applies a privacy restriction, such as suppression from person-level exports, we will apply that restriction to API outputs where this is within our control.
11. Commercial opportunity discovery and B2B marketing
FormationData is used by some customers to identify companies that may be relevant for lawful B2B marketing, outreach or professional services.
For example:
- accountants may use FormationData to identify companies with overdue confirmation statements or filing issues;
- mortgage brokers may use FormationData to identify companies that appear to own property or have charges/mortgage indicators;
- asset finance companies may use FormationData to identify companies with financial indicators that may suggest a potential fit for finance or lending discussions;
- lenders may use FormationData to support company checks, borrower review, compliance review or internal risk processes;
- web design companies may use Formation Businesses to identify businesses with public websites that may need improvement;
- professional services firms may use company indicators to identify businesses that may need advice or support.
Where customers use FormationData data for their own marketing or outreach, they are responsible for ensuring their use is lawful.
Customers must comply with UK GDPR, PECR, TPS, CTPS, direct marketing rules, equality laws, financial services rules where relevant, sector rules and all other applicable laws.
Customers must not use FormationData to:
- send unlawful direct marketing;
- ignore opt-outs;
- contact people who have objected;
- harass individuals;
- trace individuals at home;
- use service addresses as residential contact addresses;
- discriminate;
- infer sensitive personal characteristics;
- resell personal data without lawful basis;
- scrape the platform;
- use data for fraud or unlawful activity;
- breach UK GDPR, PECR or other laws.
FormationData may place warnings, restrictions, logs, suppression rules or contractual controls on exports and API access.
12. Formation Businesses
Formation Businesses allows users to search for businesses by industry and location using public business listings, public websites, mapping/business directory data, search results and other publicly accessible sources.
Results may include:
- business name;
- public business address;
- public telephone number;
- website;
- opening times;
- review rating;
- public social media links;
- public business email addresses found on websites;
- other public business listing information.
FormationData does not automatically save every Formation Businesses result into a shared contact database.
Search results are generated for the user’s search and may only be saved where the user chooses to save them.
Customers can mark businesses as “do not contact” within their own account.
Customers are responsible for respecting opt-outs, do-not-contact requests and marketing law requirements.
We may offer business contact enrichment in future. Where we do, our intention is to focus on business-level contact details such as main company telephone numbers, main business email addresses, websites and publicly available business contact details, not private personal contact details.
We may identify likely business email patterns from publicly available business information, such as where a company appears to use a consistent email format. These are indicators only. Customers must verify accuracy and lawful use before contacting anyone.
13. LinkedIn and third-party search shortcuts
FormationData may provide convenience links or search shortcuts that help users manually search third-party platforms using publicly available names and business context.
For example, a user may open a LinkedIn search using a director/PSC name and company location.
FormationData does not scrape, copy, store, enrich or extract LinkedIn profile content through this feature.
The feature is intended as a time-saving shortcut for manual searching.
Third-party websites and platforms have their own terms and privacy policies. Users are responsible for complying with those terms and applicable laws when using third-party platforms.
14. Statistical and aggregated uses
Some customers use FormationData for statistical, economic, community, market research or sector analysis.
For example, an organisation may use FormationData to understand how many UK companies are connected to publicly recorded business attributes, such as:
- sector;
- location;
- company age;
- company status;
- ownership structure;
- officer nationality;
- overseas service address indicators;
- filing status;
- business activity.
Where possible, statistical outputs should be aggregated and used to understand trends, counts, locations, sectors or business patterns rather than to identify or contact specific individuals.
Where raw data is provided for statistical purposes, the customer is responsible for using it lawfully, protecting it properly and avoiding unfair, discriminatory or excessive use.
FormationData may provide statistical or aggregated outputs based on public officer and company data, including counts by sector, location, company status or publicly recorded officer attributes.
15. Nationality and publicly recorded officer attributes
Some public company records include officer nationality.
FormationData may allow users to filter, analyse or export companies using publicly recorded officer attributes, including nationality, where available from public sources.
These features are intended for lawful company research, statistical analysis, market research, economic research, due diligence, compliance research and legitimate business intelligence.
Customers must not use nationality or similar attributes to:
- discriminate;
- exclude individuals unfairly;
- harass or target individuals unfairly;
- infer sensitive characteristics;
- make unlawful decisions;
- breach equality laws;
- breach data protection laws;
- carry out unlawful marketing.
FormationData may apply additional warnings, logging, export restrictions, API controls, purpose checks or human review to nationality-related filters and exports.
16. FormationData Score and indicators
The FormationData Score is an indicator based on information available to FormationData.
It may use signals such as:
- filing history;
- company age;
- overdue accounts;
- overdue confirmation statements;
- Gazette activity;
- repeated filing issues;
- debt ratio indicators;
- compliance indicators;
- public and company-level signals.
The FormationData Score is not:
- a credit score;
- a legal opinion;
- a compliance decision;
- a lending decision;
- an insolvency prediction;
- a fraud finding;
- a definitive assessment of a company.
A lower score does not necessarily mean a company is non-compliant, unsuitable to trade with, financially weak or badly run.
The score is intended as a quick visual indicator that further checks or questions may be appropriate.
For example, if a company appears to operate in a sector where ICO registration or AML supervision is often relevant, the score may reflect that. This does not mean FormationData has decided that the company is legally required to register or that the company is failing to comply.
Customers must use FormationData Score as an indicator only and must carry out their own checks before making business, lending, compliance, legal or commercial decisions.
17. Data matching and linked companies
FormationData may match companies, directors, PSCs, addresses, filings, accounts, properties, charges, contracts and other records to create linked company views and business intelligence features.
Matching is based on public and business data available to us.
Data matching is not always perfect.
For example:
- public sources may contain outdated or inconsistent records;
- Companies House may show multiple officer records that appear to relate to the same person;
- people may share the same name;
- addresses may be used by many companies;
- some records may not match cleanly;
- some linked company groups may be incomplete;
- some records may be incorrectly associated by public source data.
FormationData aims to make reasonable matching decisions, but our platform should be used as a research tool, not as the sole source of truth.
If you believe a profile or linked company record is incorrect, you can ask us to review it.
18. Accuracy and limitations
FormationData relies on official public sources, public datasets, public websites, business directories, third-party providers and matching logic.
We aim to keep data reasonably accurate and useful, but data may be:
- incomplete;
- out of date;
- delayed;
- incorrect at source;
- mismatched;
- partial;
- sampled;
- limited by licensing;
- refreshed periodically rather than instantly;
- restricted by source availability.
Some datasets are not comprehensive.
For example, FormationData may show some properties owned by a company, some public contracts won, some court cases involving limited companies or some compliance indicators, but this does not mean we hold every possible record connected to that company.
Users should verify important information from the original public source before making important decisions.
19. Privacy restrictions
FormationData does not automatically delete company or director records that are based on official public sources.
However, we offer privacy restrictions where appropriate, especially where a person is concerned about:
- search engine visibility;
- direct marketing use;
- service address exposure in person-level exports;
- inaccurate data;
- mistaken identity;
- home address issues;
- safety concerns;
- disproportionate impact.
Privacy restrictions may include:
- stopping search engines indexing a submitted director/PSC profile;
- requesting search engine cache or snippet refresh where appropriate;
- suppressing director/PSC service addresses from person-level exports;
- suppressing the person from FormationData’s own direct marketing;
- suppressing the person from person-level marketing, enrichment or partner exports where this is within our control;
- reviewing duplicate director/PSC profiles where reasonably identifiable;
- signposting the person to the relevant public source for correction or suppression.
A privacy restriction applied to one director/PSC profile does not automatically remove company-level records or other directors/PSCs connected to the same company.
A privacy restriction does not normally remove a company registered office address from company-level records where that address remains available from official public sources.
To make a request, use our Privacy Restriction Request page or contact support@formationdata.co.uk.
20. Direct marketing objections
If you object to FormationData using your personal data for direct marketing, we will stop using your personal data for FormationData’s own direct marketing.
Where possible, we will also suppress your personal data from person-level marketing exports, enrichment exports or partner disclosures within our control.
This does not mean we must delete public company records or company-level information where we have legitimate grounds to continue processing.
Customers using FormationData for their own marketing must maintain their own suppression lists and honour objections and opt-outs they receive.
